1. Controlling the E-mail Monsters
E-mail provides us a great way to keep in touch, but for many of us it can become so overwhelming. Some of us are addicted, constantly checking our e-mail for messages. Many of us have hundreds of e-mails in our inboxes. We think: "I'll get to that one later." But more and more just keep piling up.
So, how can you control your e-mail infestation and dependency? Here are some ideas that might help.
1. Don't let your e-mails get beyond one page's worth. Everyday I make sure my inbox has no more e-mails in it than I can see on one page. If e-mails go beyond a page I answer more of them, prioritize and delete things I really don't need, or file it.
2. Create files. This way you can clean out your inbox quickly and have files that will help you to find things when you need them. For instance, I always get e-mails for fun things happening in the city. I don't want to delete it, so I file it in an events folder. When I'm looking for something to do, I just go to the events folder and see what's happening.
3. Check e-mail only at designated times.
Constantly checking e-mail can really cause interuptions in our day. It will take us longer to get our other work done. Create a mini- routine for checking e-mail. Perhaps 9 am, Noon, and at the end of the day. Or perhaps for 5 min.
at the top of each hour.
4. Answer e-mails as you read them. It's very easy to put off answering an e-mail. Just make a decision about your reply and go ahead and respond.
You'll have much less hanging over your head if you answer it right away.
5. Call to respond instead of e-mailing back.
E-mail begets e-mail, so if you call, you may keep your e-mail box free of new e-mails. Also, calling creates connection. Sometimes we avoid connection by e-mailing. Ask yourself if you are doing this.
6. I said this first, but clean out your e-mail box everyday. There are a lot of e-mails sitting there that you probably don't need. I know deleting is hard, but sometimes you have to just do it. Getting rid of the clutter will be freeing.
Create files if you really want to save something.
